The Brokerage Administrative Associate is responsible for working directly with brokerage and regional marketing teams in performing administrative and marketing assignments. It is the responsibility of the Brokerage Administrative Associate to accomplish responsibilities within Transwestern’s quality standards and corporate goals in a manner that helps maximize the efficiency of the group and the value of the assigned properties.
ESSENTIAL JOB FUNCTIONS
Assist the brokerage team with marketing and PR strategy and implementation, development and execution of social media best practices, and creation of brand awareness for Transwestern.
Prepare proposals and presentation decks incorporating text, charts, tables and other documents using various software packages.
Must track all projects and budgets to meet deadlines.
Compile moderately complex documents and information for necessary reports, informational packages and/or presentation materials.
Process team commission recaps and deal sheets for leasing transactions.
Schedule and organize meetings and events, conference calls and appointments in support of Senior Brokers.
Prepare items in relation to meetings, including but not limited to, creation and assembly of documents for distribution, coordination of site/location reservation, food orders, attendance confirmations, and interacting with attendees to address questions or issues on an event.
Assist in completing and processing of expense forms for Senior brokers and assigned staff.
Assist brokers with State RE licensing renewals, registrations, and continuing education requirements as necessary.
Produce monthly reports for internal and external clients, based on area of business.
Assist with property research and posting listings on CoStar and other various listing sites including the Transwestern website.
Schedule property e-blasts as needed, update brochures, flyers and marketing collateral.
Contribute to effectively marketing available listings to create interest and awareness in availabilities listed with our brokers.
Additional assignments as assigned from the brokerage and marketing teams.
POSITION REQUIREMENTS
High school diploma or GED equivalent.
Some college and/or Associate degree preferred.
A minimum of 2-4 years of administrative experience, in commercial real estate a plus.
Proficiency with Microsoft Word, Teams, Excel, PowerPoint, Access, CRM/Database Management, Adobe Acrobat, social media platforms and Outlook.
Expert with Adobe InDesign and Photoshop to create marketing brochures, proposal brochures and team branding materials.
Flexible attitude, solution-focused and proven analytical and problem-solving abilities.
A strong desire to tackle new projects to assist a high performing team.
Excellent interpersonal skills - effective verbal and written communication skills.
Resourceful approach to effectively managing workloads to meet deadlines, while delivering high-quality work in a fast-paced environment.
Strong attention to detail - excellent proofreading and editing skills.
Ability to maintain discretion regarding personnel and industry-related matters.
A strong work ethic and sense of responsibility, reliability, and responsiveness.
